Hire & events

Somewhere quiet at a very loud event.

Every organiser hits the same problem around hour three: there is nowhere to have a conversation.

Acoustic pods are hired for events to solve four problems: media and podcast interviews that need usable audio, private sponsor and client meetings on the show floor, quiet and parents rooms for delegates, and demonstrations that need to be heard. Hire is quoted as one all-inclusive job covering delivery, assembly, testing, pack-down and collection.

What organisers actually use them for

Four things
01

Media and podcast interviews

The most common use by a distance. A convention centre is a terrible place to record anything, and a booth is the difference between usable audio and a file nobody can publish. Blackout wrapping is available where the interior should not appear on camera.

02

Sponsor and client meetings

Somewhere to close a conversation without walking a prospect out of the hall and losing the moment. Frosted glass where the discussion is commercially sensitive.

03

Quiet and parents rooms

Badly under-served at Australian conferences. One booth covers calls, feeding, prayer, sensory breaks and anyone who needs the volume to stop for ten minutes.

04

Demonstrations

Anything involving audio, video calls or concentration. Demonstrating a product that needs to be heard on an expo floor is otherwise close to impossible.

What venues ask before it comes onto the floor

Three numbers

Most of what goes wrong with event hire is access rather than the pod. Have these ready when you enquire and the rest is straightforward.

Packed dimensions. A one-person booth ships on a pallet 2310 × 570 × 1270 mm. Larger models run to 2650 mm long. That length is what venues and lifts care about, not the assembled height.

Weight. Between 290 kg and 970 kg assembled. Venue operations will ask, and some floors and travelators have limits.

Power. One standard 10A outlet per pod. No three-phase, no special provisioning, no electrician on standby.

Bump-in and bump-out

What we handle
1

We confirm access before the date

Dock allocation, lift dimensions, corridor width, floor protection and your bump-in window, dealt with directly with venue operations. Tell us the venue and we will find out what applies.

2

Our team delivers and builds it

Positioned, assembled and tested on site, with lighting, ventilation and power working before we leave. You do not touch a tool.

3

We pack it down and take it away

At the time you nominate, in your bump-out window. Included in the quote, not an extra.

Book earlier than you think

Availability is the real constraint, not price. The hire pool is small and Australian event dates cluster hard around conference season, so a specific model on a specific week goes long before the budget conversation matters.

Four to six weeks ahead is comfortable. Inside two weeks depends entirely on what has come back from the previous job. If you have a date, tell us early even if nothing else is settled.

Branding and finishes

Vinyl wrapping covers full branding for activations. Frosted film gives visual privacy while keeping the interior light. Blackout wrapping is used where the interior must not be visible, most often for media booths where the background needs controlling. Tell us what the pod is for and we will suggest the finish rather than the most expensive one.

Which model for an event

One-person booths for interviews and calls, the Duo for two-person conversations, the Meet for sponsor meetings and anything with a table.

Common questions

Can I hire a soundproof pod for an expo or conference?

Yes. Event hire is quoted as one all-inclusive job covering delivery to the venue, positioning, assembly, testing, then pack-down and collection in your bump-out window. There are no separate freight or assembly charges.

How far in advance should I book a pod for an event?

Four to six weeks is comfortable. The hire pool is small and Australian event dates cluster around conference season, so availability of a specific model on a specific week is usually the constraint rather than price.

Can you deliver to a convention centre?

Yes. We handle bump-in and bump-out directly with venue operations, including dock booking, lift access and floor protection requirements. Tell us the venue, your bump-in window and bump-out time and we work to it.

Can a pod be branded for an event?

Yes. Vinyl wrapping covers full branding, frosted film gives privacy while keeping the interior light, and blackout wrapping is available where the interior must not be visible on camera.

Can I hire a pod as a podcast or interview booth?

Yes, and it is one of the most common event uses. The booth is acoustically treated and ventilated so recorded audio is usable, unlike anywhere else on a show floor.

What does the venue need to know?

Three numbers: packed pallet dimensions up to 2650 mm long and 1270 mm tall, assembled weight between 290 and 970 kg, and one standard 10A outlet per pod. We supply all of it in writing for venue operations.

Got a date and a venue?

Tell us both, plus roughly what the pod is for. We will confirm availability and send an all-inclusive number, usually the same day.
